At Equitraction CIC, we believe that small charities and community organisations achieve incredible things with limited resources. Yet many face the same challenge: as their impact grows, the systems and processes that support their work struggle to keep pace.
We’re currently developing and testing a new support model designed specifically for small, volunteer-led organisations. The aim is simple: help community organisations build stronger foundations so they can spend less time firefighting and more time delivering impact.
Why This Matters
Many grassroots organisations begin with passion, commitment and community need. Over time, however, practical challenges emerge:
- Documents are stored across multiple devices and personal accounts.
- Volunteers and trustees struggle to access the information they need.
- Governance documents become outdated or difficult to locate.
- Digital tools are underused or not used at all.
- Funding applications take longer because evidence, policies and organisational information are not readily available.
These challenges are common and completely understandable. Most small charities are focused on helping people, not managing technology.
A Current Pre-Pilot Project
As part of our development as a Community Interest Company, we are currently working alongside an established community organisation to test and refine our approach.
The proposed programme focuses on four key areas:
Digital Foundations
Supporting the transition from individual systems and accounts to a more secure and sustainable organisational setup, including:
- Organisational email accounts
- Microsoft 365 charity licensing
- Shared document storage
- Team collaboration tools
Information and Document Management
Creating simple, practical systems that make it easier to:
- Find information quickly
- Share documents securely
- Reduce duplication
- Improve business continuity
Governance and Compliance
Reviewing and strengthening core governance arrangements through the development and organisation of key policies and procedures, helping trustees demonstrate good practice and increased readiness for growth.
Funding Readiness
Helping organisations present themselves more effectively to funders by strengthening website content, organisational messaging and supporting documentation.
What We’re Learning
One of the key goals of this pre-pilot is to understand how digital transformation can be delivered in a way that works for small organisations with limited time, limited budgets and varying levels of digital confidence.
We’re particularly interested in identifying:
- What support trustees find most valuable.
- Which digital tools provide the greatest benefit with the least complexity.
- How governance improvements can be delivered in a practical and manageable way.
- How small organisations can become more confident and funding-ready without creating additional administrative burdens.
Looking Ahead
The learning from this work will help us develop a structured programme that can be offered to other charities, community groups and voluntary organisations across the Midlands and beyond.
